We’re often asked the same question this time of year: “How much should we budget for our holiday event?”
It’s such a common concern that my colleague Adam Dolgin recently collaborated with myself and my lead event manager Dima Hijazi on a blog for our website titled “Holiday Event Budget Plan: How Much Does a Corporate Holiday Party Really Cost in Toronto?” . The piece sparked a lot of conversations with clients, and it reminded us just how central budget clarity is to holiday planning.
Holiday events are high-impact moments for companies and organizations. They are a chance to celebrate achievements, thank employees, and finish the year on a high note. But whether your budget is $5,000 or $150,000, the difference between a stressful scramble and a seamless celebration often comes down to one thing: a clear budget. A well planned out budget will form the foundation of any successful event.
Venue First, Always
Your venue is the single most important building block in determining your event budget. It dictates guest count, catering options, rental needs, and even how much décor you’ll require. A venue with built-in event essentials such as AV, kitchen facilities, and furniture may seem more expensive upfront but can save thousands in rentals.
On the contrary, in house catering and exclusive caterers tied to certain venues can feel convenient, but they often lock you into limited menus and higher costs. We recommend seeking venues that allow outside catering whenever possible. It gives you more control over quality and costs.
Also, downtown event venues often carry premium price tags, especially larger venues. If possible, going with a venue in midtown or surrounding areas like Mississauga and Woodbridge can offer far more value without sacrificing style, offering more flexibility and giving you more room in the budget for food, entertainment, and guest experiences.
Choose a venue that works with your vision instead of against it. Fighting a space’s existing aesthetic often means overspending on décor to “fix” the room. A venue with a clean modern aesthetic may seem more expensive at first, but if this is the overall look and feel you are going for, it can save you thousands of dollars that you would need to otherwise spend on décor.
Pro tip: To really save on costs, consider the possibility of hosting your holiday event at your company’s office. You’d be surprised at how effective this option can be when paired with strong décor, creative food stations, and interactive activities that transform a familiar space into something fresh and festive. Even better, hosting on-site frees up a significant portion of your budget to reinvest in the elements your employees will remember most such as entertainment, elevated food and beverage, or unique experiences that make the event feel special rather than routine.
Guest Count: Where Budgets Can Balloon
Guest count is the great multiplier when it comes to event budgets and can have a direct snowball effect on your budget. Every additional plate matters, so confirm your guest list early and look closely at the costs such as food, drinks and gifts that grow with every added person.
Another pro tip: If budget is tight, consider a team event over an event that invites spouses and/or children. If you are having a family event, consider limiting this to immediate family only.
Don’t Overlook the Hidden Costs
One of the things we highlighted in the holiday budget blog is how often “small” items can sneak up and push an event over budget. Coat check, parking, AV, Wi-Fi, staging, staffing, even glassware rentals all add up fast.
The key is to clarify exactly what’s included before signing a contract. Ask detailed questions, even about things that seem obvious. It’s better to know upfront than to be hit with last-minute add-ons.
On the flip side, some venues come with extras that can save you money. Built-in festive décor, staging, or strong lighting packages may reduce what you need to bring in externally. Sometimes those “little inclusions” make a huge difference to your bottom line.
Stretch Your Dollar Without Cutting Corners
One of the biggest misconceptions is the idea that memorable events must be extravagant. After planning thousands of events, we can tell you this: the best events aren’t always the most expensive, they’re the most intentional.
Spend where it counts. For some organizations, that means investing in entertainment that gets people laughing and connecting. For others, it’s thoughtful food and beverage that reflects the culture of the team. Allocate your resources where they’ll have the greatest impact, rather than spreading them thin or overspending on items that don’t make an impact.
Holiday events are about creating meaningful moments for your people. With a thoughtful budget, you can do that without overspending or underserving your guests.
Well Thought out Budgets Build Better Events
At Pop, we like to say: “Successful events need strong building blocks.” A realistic, well-structured budget is the single most important element to planning an event. It drives organization, provides clarity, keeps stress in check, and helps ensure the final event feels seamless.
So, this holiday season, start with the budget. It may not be the most glamorous part of the process, but it’s the piece that makes everything else possible. As we put so eloquently in our blog: a clear budget is the gift that keeps on giving.
