Ottawa Leads by Example with New Responsible Events Guide

In a country as vast and diverse as Canada, event planners are constantly seeking ways to balance logistics, delegate experience, and meaningful impact. As environmental concerns and community consciousness continue to shape our national conversations, one city is stepping up with a solution tailored for today’s event landscape.

Ottawa Tourism’s Responsible Events Guide is the latest example of how Canada’s capital is redefining what it means to host events with purpose. Designed for both seasoned planners and those taking their first steps toward sustainability, this newly launched guide offers a practical, actionable framework for organising events that reflect Canadian values – stewardship, inclusivity, and community engagement.

A Made-in-Canada Toolkit for Sustainable Planning

Far from a reference manual, the Responsible Events Guide is grounded in practical tools and real-world partnerships. Central to the resource is the Responsible Event Planning Decision Tree, a simple yet powerful tool that helps planners evaluate everything from signage and catering to delegate bags and swag. It encourages questions like: Can this item be eliminated? Can it be made more sustainable? Can it benefit the local community?

By providing a step-by-step process, the guide removes the guesswork and replaces it with inspiration and clarity – something planners across both the domestics and international markets can appreciate, whether hosting in Ottawa or exploring how to adapt similar principles in other regions.

Local Food, National Impact

One of the most compelling parts of the guide addresses catering – an area that’s not only essential to delegate experience but ripe for sustainable innovation. The guide encourages planners to opt for plant-forward menus, highlight seasonal and locally sourced ingredients, and reduce single-use items.

But it doesn’t stop there. Ottawa has gone further by partnering with La Tablée des Chefs to launch À la Carte, Canada’s first destination-led food recovery program. This initiative ensures that surplus food from events hosted at more than 20 venues is safely redistributed to local organisations such as The Ottawa Mission, Shepherds of Good Hope, and Lionhearts Inc. During the 2025 IIHF World Junior Championship alone, over 18,500 meals were recovered and redirected to those in need; and by the one year anniversary of the initiative on May 30th, the programme will have recovered 150,000 meals.

Inclusion Starts with Intention

Accessibility and inclusion are cornerstones of Canadian identity, and Ottawa Tourism has ensured they are front and centre in its event planning philosophy. As a Rainbow Registered DMO, Ottawa Tourism has formalised its commitment to welcoming all guests.

The guide advises planners to gather accessibility needs during registration, provide detailed venue information in advance, and collaborate with local partners like Whimble Care to deliver adaptive services. The emphasis is not only on removing barriers but on collecting feedback to improve future experiences – demonstrating a long-term commitment to equitable access.

Strengthening Community Connections

Events hosted in Ottawa aren’t just transient moments—they’re opportunities to leave lasting positive footprints. The Responsible Events Guide includes a Donations Directory and Volunteer Suggestions that enable visiting groups to engage with the local community in tangible ways. Whether it’s helping at a local food bank, planting trees with Forêt Capitale Forest, or contributing to accessibility initiatives, the guide makes it easy to turn good intentions into real outcomes.

It also champions circular economy practices. For example, delegates can opt out of receiving physical swag, while signage can be replaced with digital or recyclable options. Planners are encouraged to explore Ottawa’s Lend-a-Lanyard program or work with sustainable suppliers like LouLou Lounge, which repurposes building materials into beautiful event décor.

Sharing the Story

Sustainability done well deserves to be shared, and the guide helps planners weave sustainability into their event narratives. From pre-event “know-before-you-go” briefings to on-site signage and post-event impact recaps, the guide stresses the importance of authentic storytelling—not just for delegate engagement but to inspire others in the industry.

A Capital Model for Responsible Hosting

With a growing number of direct international connections, expanding hotel infrastructure, and award-winning venues, Ottawa is well-positioned to host high-profile events. But more importantly, it is setting a national standard for how those events are delivered.

Ottawa’s Responsible Events Guide reflects a broader shift happening across Canada: a recognition that sustainability and hospitality go hand in hand. For planners looking to align their events with both values and action, Ottawa is more than ready – it’s leading the way.
